Church Clerk

 

Reports To:  Church Administrator

 Position Status: Salaried

 Position Summary: To support the ministries of ECOD; assist in drafting correspondence, preparing programs for services, making announcements, and other administrative duties as needed.

 Phone

 

  1. Answer phone and take messages for the pastor and other staff.
  2. Handles telephone inquires.

 

Mail

 

  1. Pick up, sort  and distribute mail
  2. Check email and respond.
  3. Take wedding and funeral information and pass it on the appropriate coordinator.

 

Correspondence

 

  1. Represents the church in matters of public relations; newspaper, television and radio.
  2. Handles correspondence, thank-you notes, etc. as directed by the pastor and church administrator.

 

Church Calendar

 

  1. Coordinates and gives weekly announcements during services.
  2. Coordinates use of church facilities for meetings and events to avoid conflicts.
  3. Maintain Bulletin Boards and post announcements accordingly.

 

Forms

 

  1. Provide forms as needed, i.e., sign-up sheets for various functions and events, etc.

 

 Petty Cash

 

  1. Records disbursements and balance.
  2. Maintains records (vouchers and receipts)

 

Office Equipment

 

  1. Maintain office equipment (clean and operational).
  2. Call for service as needed

 

Office Supplies

 

  1. Ordering and maintaining adequate office supplies

 

Coordinate Volunteer Help

 

  1. Coordinate other office help as the need arises.

 

Secretarial Support

 

  1. Assist the church secretary as directed.
  2. Functions as secretary pro tem during official church business meeting(s) due to extended or prolong absence of the church secretary.

 

Pay Bills

 

  1. Pay bills as directed by the church administrator and in accordance with established procedures..
  2. Maintains accurate and up-to-date 1099 files

 

Other

 

  1. Order Holiday Supplies; Christmas, Easter etc.
  2. Keep Church Office neat and clean.

 

Expectations

 

  1. Employee subscribes to and is in full agreement with the “I believe the Bible to  be the Word of God, the only infallible rule of faith and practice and that it has been clearly and consistently interpreted in ECOD “By-Laws Tenets of Faith and Doctrine”.
  2. Employee’s inability to perform his/her duties due to physical or conduct detrimental to the ministry shall result in termination.
